WILD PINE Events are curated markets designed to bring together great vendors, great products, and great experiences for our community.

Below are the most common questions about participating as a vendor.

What time do vendors set up?

Vendor load-in times vary by event, but setup typically begins the evening before the event, as well as 2–3 hours in the morning before the opening.

Specific load-in instructions will be sent to vendors before each event.

Please allow enough time for:

  • unloading

  • booth setup

  • vehicle removal

All vendors must be fully set up before the event opens to the public.

Can vendors arrive late?

Late arrivals may not be permitted if they disrupt event operations.

For the best experience for guests and other vendors, all booths must be ready before opening time.

Can vendors pack up early?

No.

Vendors must remain set up until the official event closing time.

Early teardown creates a poor experience for attendees and neighboring vendors.

Vendors who pack up early may not be invited back to future WILD PINE events.

What size are vendor booths?

Most standard booths are:

10×10 vendor spaces

Some events may also offer:

  • wall spaces (10×6)

  • outdoor vendor spaces

  • food truck areas

Exact options vary by event.

Do vendors need to bring their own tables and chairs?

Yes.

Vendors are responsible for bringing their own:

  • tables

  • chairs

  • displays

  • extension cords

  • lighting if needed

Some indoor spaces may include pipe & drape, depending on the event layout.

We also offer rentals for many of our events.

Can I choose my booth location?

Booth locations are assigned by the event organizer to ensure the best vendor mix and event flow.

Requests may be considered but specific placement is not guaranteed.

What products can I sell?

Vendors may only sell items listed on their application or approved by WILD PINE Events.

This helps us maintain a balanced and curated market.

We may limit:

  • duplicate vendors

  • oversaturated categories

Are handmade vendors prioritized?

Yes.

Many WILD PINE events emphasize:

  • handmade goods

  • artisan products

  • small businesses

  • local brands

However, some events may also include select retail vendors.

Are MLM or direct sales companies allowed?

Some events may limit MLM or direct sales vendors in order to maintain a diverse vendor mix.

Are pets allowed for vendors?

Vendor pets are not permitted.

Service animals are allowed in accordance with ADA guidelines.

What if it rains?

Outdoor events typically take place rain or shine.

Vendors should plan for:

  • sun

  • wind

  • rain

In rare cases of severe weather, event updates will be communicated to vendors.

Do vendors need insurance?

Most vendors do not need insurance, but certain vendors (such as food vendors or vendors with equipment) may be required to carry liability insurance depending on the venue.

Vendors will be notified if insurance is required.

What is the cancellation policy?

Vendor booth fees are non-refundable.

In some cases, a credit toward a future event may be offered if the vendor cancels early enough and a replacement vendor can be found.

How can vendors have a successful event?

The most successful vendors typically:

  • create attractive booth displays

  • clearly price their products

  • interact with customers

  • promote the event on social media

We encourage vendors to share the event with their audience.

Will my booth be photographed?

Yes.

WILD PINE Events may photograph or film:

  • booths

  • products

  • event scenes

for marketing and promotional use.

How do I apply to be a vendor?

You can reserve a space by clicking on each event on our website.

Spots are limited and events are curated to maintain a strong vendor mix.

For any completely curated event, we typically open applications three months before the event.

Those events require payment one week after acceptance.
